Across the four-month period, United Zion achieved an overall 70% reduction in falls—demonstrating the impact of moving from reacting to incidents to proactively identifying and addressing risk.

A live investment operations demonstration using a fictional case illustrates how research time can be lost when information sources, responsibilities and access permissions remain unclear

A research document has been sent. A meeting has ended. A set of materials is ready.

On the surface, the work appears to be moving forward. In cross-border investment research, however, progress can stall not because a task has been left entirely undone, but because it is only partly complete—and no one can say with certainty who is responsible for what happens next.

At “The Handoff Room,” a live investment operations demonstration in Singapore, Monica Triyadi used an entirely fictional ASEAN company-research case, designed without confidential information, to show how research materials move through scheduling, source verification, specialist review, meeting preparation and follow-up.

The demonstration involved no real securities and did not ask participants to make investment decisions. Instead, it examined a more fundamental, often underestimated question: when information passes from one person to another, do its source, responsibility and permissions travel with it?

Drawing on the demonstration’s process records, Triyadi identified three handoff gaps requiring particular attention: information had been passed on without a clearly identified person responsible for confirming its source; a meeting had ended without a single owner for follow-up; and documents were ready without clear instructions on who could use them or for how long.

Each gap may seem minor. In practice, any one of them can bring an otherwise workable research task to a halt.

“Time lost in cross-border research is not always the result of one major mistake,” Triyadi said. “It can disappear in a question nobody follows up on—who confirmed this, who handles the next step, or whether this document can still be used.”

The first gap appears after the information arrives

The first disruption in the demonstration was not a missing document. It was the uncertainty that emerged after a document reached the next stage.

Information may carry the sender’s name without identifying who verified its contents. An attachment may show an updated date without explaining why the previous version was replaced. A key figure may be passed between several people until its eventual user no longer knows whom to approach with further questions.

The information has not disappeared. It remains in an email, a folder or a meeting pack. What it has lost is the context needed to keep the work moving.

For research support professionals, the pressure comes not simply from being unable to find a file, but from having to retrace its origins when a deadline is already approaching.

Triyadi’s approach is that an effective handoff should establish more than whether something has been sent. It should preserve three things: the information’s source, its current status and the person who can confirm it.

Without those details, the recipient may have received a document, but not information that is ready to use.

The second gap opens when the meeting ends

The second issue illustrated by “The Handoff Room” emerged at a moment when attention can easily begin to drift: the end of a meeting.

Participants may have identified additional data to obtain, wording to verify or material that cannot yet be used. Everyone may have heard those requirements. But unless a single responsible person, a deadline and a completion check are agreed before people leave, the work remains in an uncertain state.

Everyone knows something is outstanding. No one is entirely sure whether it belongs to them.

What makes this situation so draining is that it rarely looks like an obvious failure at first. The task may not resurface for hours or days. By then, the team has to reconstruct the discussion, review messages and establish who was supposed to act.

“Everyone hearing a request does not mean someone has taken ownership of it,” Triyadi said. “If a meeting records what was discussed but not who must come back with an answer, all it leaves behind is a conversation.”

The end of a meeting should therefore not be treated as the end of the process. A meaningful handoff needs to establish who is responsible, when the work is due and how completion will be confirmed.

The less clearly responsibility is assigned, the more follow-up depends on individual memory. Across teams and time zones, memory alone is an unreliable foundation for coordinated work.

The third gap appears when the documents look complete

The third issue is harder to spot because, by this stage, the documents often look finished.

Titles, attachments and version numbers may all be in order. Yet a recipient may not know whether the material can be forwarded or when access expires. Some documents may be suitable for internal discussion but not external communication. Others may be available only during a particular stage of work, with access expected to end when the task is complete.

A document being ready does not mean its delivery is complete.

For Triyadi, a complete handoff also needs to establish the intended recipients, permitted uses, approved channels and duration of access. Without those conditions, a cautious recipient may stop using the material because the rules are unclear. A less cautious recipient may continue sharing it beyond its intended scope.

The first outcome creates delay. The second creates information governance risk.

That is why confidentiality cannot rest solely on a disclaimer at the end of a file. It becomes part of the operating process only when permissions travel with the information and are clearly withdrawn when no longer needed.

Research time can disappear into work that is “almost finished”

“The Handoff Room” did not seek to reduce investment operations to a universal checklist or attribute every delay to individual carelessness.

Instead, the demonstration made a less visible problem easier to recognise: research tasks can stall not during specialist analysis, but in the space between professional functions where ownership has not been clearly established.

Information has been sent, but source confirmation has not travelled with it. A meeting has ended, but responsibility has not been assigned. A document is ready, but its permissions remain unclear. Each task looks close to completion, which makes the remaining gap easier to overlook.

Triyadi’s role is not to make judgements on behalf of investment professionals. It is to help keep the operating conditions around those judgements clear. She does not select securities, determine position sizes, approve transactions or make portfolio decisions. Research, risk, legal and compliance professionals retain their respective responsibilities.

Her concern is whether the information reaching those professionals can still be understood, verified and used appropriately.

Cross-border investment research cannot eliminate every wait or provide an immediate answer to every question. But an unresolved question with a named owner remains an active task. A document that cannot yet be used, with its access status clearly marked, will not be mistaken for a completed delivery.

The greater concern is not simply that work remains unfinished. It is that everyone believes it is already done.
